This role is ideal for someone who enjoys variety in the workday and excels at organization, customer service, and effective communication.
The Project Assistant will work directly with the Project Management team by assisting them with all aspects of their day, including project set up, estimating/budgets, bidding, submittals, planning, coordinating, subcontractor selection, purchasing and construction scheduling.
This position will report to 2 Estimators/Project Managers as well as the Operations Manager.
There is daily contact with the President and Administrative Assistant.
Assist in setting up jobs, creating job folders, and completing construction plan reproduction and scanning Coordinate and schedule pre-construction meetings, take meeting minutes, and distribute meeting minutes on behalf of the Project Manager.
Maintain, monitor and organize project records and documentation on incoming project opportunities from contracts, insurance certificates, bond forms, to SA-11s.
Create, organize, and distribute bid documents for county, municipal and state bids.
Attendance to bid openings may be required.
Drafting proposals and quotes to customers as directed by the Project Managers.
Engage with subcontractor and supplier contacts on bid solicitations and project opportunities.
Coordinate and collect subcontractor and supplier bids to assist Project Managers in preparing accurate and timely cost estimates.
Support the project manager team in working with government authorities on obtaining all necessary project permits, licenses, variances and other land development processes.
Scheduling of Police Officers for Construction Projects; this includes contact with Police departments obtaining any Contracts for signing and liaising with the A/P department to set up escrow accounts Scheduling mark-outs for gas and electric companies prior to the start of projects.
Coordinate and track submittals, change orders, schedules, and the distribution of updated construction documents to subcontractors and suppliers.
Drafting construction notices for residents on GC projects.
Daily tracking of construction quantities and police details for various projects.
Perform additional tasks and responsibilities as needed by the business.
Assistance with filing and organizing documents and contracts for projects.
Experience - Office/clerical 2 years minimum preferred.
- Prior administrative experience in a construction, engineering, or architectural setting is a major benefit, though not required.
-Results-oriented with proven ability to organize, plan and prioritize work to meet deadlines.
- Notary preferred but not required.
- Strong proficiency with Microsoft Office including Excel, Word, Outlook, Google Drive and Google Sheets, Adobe Acrobat.
- Reliable and trustworthy with a strong work ethic and an unwavering commitment to quality and profession work.
- Keen attention to detail and aptitude for problem solving.
- Excellent communication and interpersonal skills.
- Able to work well independently and as part of a team.
-Must maintain regular and reliable attendance at a level acceptable to the company.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
